ITENOS enhances access to reliable data across 100 cost centers

ITENOS embarked on a modernization project because it could no longer meet the growing demands on information with Microsoft Excel and PowerPoint alone. The team searched for a business intelligence (BI) system that could keep up with the growing amount of information and reduce the burden on the team. The team of Tim Mettbach discovered the integrated planning and reporting solution from Jedox and used it to build a rough planning environment. The first results spoke for themselves and convinced the budget owners to implement an entire reporting landscape based on Jedox.

Today, ITENOS works with a complete web solution that includes management dashboards, budgeting, variance analysis, and rolling forecasts. Its tech-savvy management accountants rolled out the solution on their own, step by step, alongside their day-to-day responsibilities. The objective of the BI implementation was to completely replace the manual report-generating process with a central IT system. Jedox fulfilled these goals by establishing a standardized, uniform data pool that guarantees secure, transparent, efficient planning and reporting processes across the organization.

After adding a management dashboard, ITENOS added functionality for rolling forecasts. Except for two person days of consulting services for the dashboard, the organization made all of these additions internally. Today, the application supports data entry and consolidation for the rolling monthly forecast, budgeting for all business departments, and automated variance analysis. The management dashboard provides business units and managing directors with monthly reports, including budget vs. actual comparisons, in a clear, concise format. The tool also supports data entry and visualization for Key Performance Indicators (KPIs) related to the ISO-certified systems for service management and information security management.

Jedox OLAP Server serves as the single source of truth for all management accounting activities. The database combines forecast, budget, and actual data from SAP CO/FI into ready-to-analyze data cubes. The system also contains historical data dating back to 2010, with approximately 80 KPIs for each of the 100 cost centers. Today, over 50 users, including management accountants, business unit managers, and decision-makers in various departments, access tailored information based on their permissions.

Jedox enjoys high user acceptance thanks to its consistent data and fast ad hoc analyses. Today, the tool is the standard for all internal reporting processes. The automated functions in Jedox and in-house developments have also helped streamline processes at ITENOS. In the future, the management accountants plan to tap more of the software’s potential to further optimize usability and performance.
