Detailed human resources reporting at Pernod Ricard Deutschland
Worldwide, Pernod Ricard distributes and markets spirits, wines, and champagnes in more than 160 countries with a total of 19,000 employees in 86 subsidiaries. For the German market, Pernod Ricard Deutschland GmbH, headquartered in Cologne, represents the group and markets a portfolio of well-known premium brands including Absolut, Lillet, Perrier-Jouet, Chivas Regal, Jameson, The Glenlivet, Malibu and Monkey 47.
A central database for HR controlling
Pernod Ricard Deutschland has relied on Jedox for years for their financial and sales controlling and has successfully collaborated with Jedox partner HICOGroup to continue improving their long-standing planning processes with Jedox.
Their HR costs were previously only recorded at the aggregated cost center level. Needing more granular detail for their key figures, they realized the need for a flexible, modern planning solution for HR. The reports had previously been created, mostly manually, in the department with the help of numerous Excel files. They selected Jedox to support their HR financial planning to enable more efficient reports and dynamic analysis down to the detailed level of individual employees. In addition to more granular reporting, it was important to the HR team that the architecture create a single source of truth for HR reporting. This uniform data basis was previously missing from their reporting using Excel.
Individual HR controlling
With seamless integration of the relevant payroll data from the data warehouse and the HR model in Jedox, the central data pool for dynamic HR reporting was created. Their source data was easily imported via the Jedox Excel interface and made available to HR for combined analysis of personnel data and costs. The detailed analysis provides information such as personnel costs per month and employee, broken down by wage types and G/L accounts. They found the automatic FTE (Full Time Equivalent) calculation particularly useful for their team, which includes payroll data and the payment of a specific wage type. With this approach, only currently active employees are included in the FTE codes, and, for example, maternity leave periods are excluded.
Secure protection of sensitive HR data
A key requirement for HR is compliance with high data protection standards for sensitive data. With Jedox, compliance is straightforward and user permissions are easily defined. A separate data cube was set up for their HR controlling, to which only the HR department and management have access. In Jedox, access rights can be controlled down to the individual table cell. The database application also protects against manual intervention and makes edits traceable.
Implementation within two months
For the implementation, key team members at Pernod Ricard worked closely with a consultant from Jedox partner, HICO-Group. This collaboration and testing phases proved to be very efficient. Just two months after the start of the project, the first system version was able to go into test operation, which was then further refined to gain insights via the drill-through from Jedox down to the individual booking and payment document in their ERP system.
A scalable and flexible solution
The HR department at Pernod Ricard now has a centralized database for its individual reporting, with their reporting structures based on the chart of accounts and the posting logic of financial controlling. HR controlling is seamlessly integrated into the standardized Jedox solution for financial and sales controlling but is protected as a separate application against unauthorized data access. This enables the HR department to flexibly expand its reporting as needed. Their future plans include the addition of web reports to the Jedox Excel add-in and the further expansion of human resource planning in Jedox. Expanding the solution to their HR controlling in Austria and Switzerland is also being considered.
